1. Introduction
Stotfold Junior Football Club (“the Club”) is committed to protecting and respecting your personal data. This Privacy Notice explains how we collect, store, use, and manage personal data for players in the junior section (under‑18 teams).
2. Who We Are
The Club is the data controller for all personal information processed during registration and participation. Any questions about how we handle data should be addressed to the Club Secretary or Welfare Officer.
3. What Personal Data We Collect
We collect the following types of information about junior players:
- Full name, date of birth, school year
- Contact details of parent(s) or guardian(s)
- Medical or dietary information (if voluntarily provided)
- Records of attendance, participation, and commitment to team
- Registering details for FA affiliation
4. How and Why We Use Personal Data
Personal data is collected and processed for the following legitimate purposes:
- Registration & administration: to manage club registers, fees, team allocation, and FA membership.
- Safeguarding & welfare: to ensure the well‑being of all players.
- Communication: keeping families informed of sessions, matches, cancellations, or updates.
- Photography and Publicity: optional photo/video use under separate consent (see below).
5. Storage and Access to Data
- Data is stored electronically and accessed only by authorised club officers.
- Data is stored securely and retained only as long as necessary for club operations, safeguarding, or legal obligations.
6. Photo & Video Consent (Optional)
To promote club activities safely and respectfully, we may photograph or video junior players during matches, training sessions, events, and awards. These images might be used on:
- Club website and social media
- Newsletters, programmes, or promotional materials
Consent details:
- Consent is opt‑in only, and you may decline or withdraw your consent at any time.
- If consent is withdrawn, we will promptly cease using photos or videos of the relevant player in future materials.
- No identifying player names will accompany images published publicly, unless further explicit consent is given.
You will be provided with a photo/video consent choice as part of the registration process.
7. Your Rights
Parents/guardians and players (as appropriate):
- Can request corrections if information is inaccurate
- Can ask for deletion or restriction of processing
- Can object to certain types of data use, including marketing or publicity
- May request data portability where applicable
Requests should be submitted in writing to the Club Secretary or Welfare Officer.
8. Sharing Personal Data
We do not share personal data with third parties, except:
- To register players with the Football Association (FA) as required
- In emergency situations for safeguarding purposes
- If legally required (e.g., by law enforcement or regulatory bodies)
9. Changes to This Notice
We may update this Privacy Notice periodically to reflect changes in club practice or legislation. When any significant revisions are made, we will inform members via email or club notice board.
